In-text citation styles inherit their formatting from the surrounding paragraph style. In that style you must have something which triggers the bold setting.

If you can't find what is causing it, you might want to try the macro at http://bibword.codeplex.com/wikipage?title=Styles_FAQ#Q9 with one twist. Change:

s.Font.Superscript = True

into

s.Font.Bold = False

It works a treat. had to fiddle around with the bibliography style within HavardExeter.xsl but managed to get it. below is an example of one of the citations:

Manning, T., Parker, R. and Pogson, G. To add to the above. The format does not provide a field for the name of the electronic database (jstor) where you retrieved the article from. You can use one of the other electronic fields to store that information in. For example, you could use "b:InternetSiteTitle".

By default, the entry in bibform.xml would look like:

Of course, you would want to adjust the label to read something like "Database Name" and your sample to be "Example: JStor" to make it clear what the intention of the field is:

(The TitlePriority is not of importance in this case. You can omit it if you don't want it)

There is a difference between the fields that show up in the source manager and the important fields. The fields that show up are the same for all styles. The ones that are important, are style dependant.

When Microsoft defined the open xml specification, they allowed all fields for all types of sources. It is a 'flat' format. Basically, they allowed for adding a 'station' field to a 'book' (pointless). The people who created Word decided that that was too much freedom for the end-user and picked a subset of fields which they support for each type. A good idea, but unfortunately their 'picking' was miserable. You would expect that in the 21st century, they would have added at least the 'electronic fields' to each type of entry or provided extra types of sources for them.

Anyway, you can decide yourself which fields to attach to which source.

The lazy solution: switch between source types

In the source manager, when you change the type of a source, different fields will become available. You can switch to a type of sources which has the fields you want, and fill them in. Then, when you switch back to the type you want, the data will be kept although it looks like the fields are gone.

The good solution: edit bibform.xml

The above works if you only have one or two entries. If you have dozens of entries, it becomes a stupid thing to do.

The order and availability of the elements for a given source type in the source manager is defined in a file called bibform.xml. Normally, this file can be found in

C:\Program Files\Microsoft Office\Office12\1033\Bibliography

where the 1033 could be a different number for you. It represents the localization of your copy of Word (1033 = US English).

If you open the file you will notice a huge bunch of xml code. Its format is pretty simple and straightforward. For each type, there is an entry in the form:

The children of a source element are the different fields that will be available in the source manager for that type. For example:

What you can do is copy paste the electronic fields from other source types inside the Source element for JournalArticle. You would want to add the following code inside the Source element:

If you save the file and try to edit a Journal Article source, all fields should now be available. Note that you might want to select "Show all fields" depending on how you defined your important fields.

I added the "Medium" field as an extra to your requirements. It depends on where you want to display the word "online" in your format. If you do it near the URL, then you won't need a field for it. However, if you do it for example directly after the title and in before the journal name, you might want to put the word "online" in the "Medium" field and display that field. BibWord is not capable (yet) of showing a string based on the fact if a field is available without actually displaying the field.

Hi there, sorry me again.

I need to reference an Electronic journal in the following order:

- Author

- Year of Publication (in round brackets)

- title of article (in quotation marks)

- title of journal (in italics)

- Volume, issue, page numbers

- name of collection (in italics)

- [Online]

- Available at: URL

- (Acessed date)

an example of this style would be:

Bright,M. (1985) 'The poetry of art', Journal of the history of ideas, 46 (2), pp. 259-277 JSTOR [Online]. Available at: http://uk.jstor.org/ (Accessed: 16 June 2005).

any help would be much appreciated.

I have tried to modify the .xsl file:

BibWord uses "value-of" rather than "copy-of" in most cases to process elements (there are pros and cons to this decision). As a result, tags are removed. Try using

<overflow>&lt;i&gt; et al&lt;/i&gt;</overflow>

instead. That should do the trick.

hi there i cant seem to get the et al to be italicised in the in-text citation. at the moment it is as follows:

I need it to be:

That doesn't sound like a BibWord file at all. Which file are you looking in? If it is one of those that come with Word 2008 (APA.XSL, Chicago.XSL, ...), then you are as good as on your own. I can give you pointers, but you need a decent xslt knowledge, and a lot of time on your hands to change those files. BibWord was created to avoid the mess those files are.

In my original reply, I suggested to start from one of the Harvard styles on this site. I didn't give any specific links there, so I'll do it this time:

I don't see <xsl:variable name="data"> only

<xsl:with-param name = "data">

<xsl:with-param name = "data">, but line shows up 50 plus time throughout the file. It's a matter of finding these places.

Thanks for the info.

I'm afraid that this is way beyond my understanding of the xsl file and how to modify it. I don't really have any idea what to take out... where to find them.. and so forth. I think it might just be easier to manually change my references by hand.... and less frustrating. I wish it was easier. This is a very common format for most scientific papers. I'm surprised that a format isn't easier to come by. There has to be someone out there that has done this already.

The sequence of in-text citations cannot be manipulated automatically. You can do it manually. See http://bibword.codeplex.com/wikipage?title=FAQ#Q2 for more information.

It seems like you are looking for an author-date style. There are a couple of Harvard variants on this site which will do partially what you want. The easiest option is probably starting from one of them and editing it to fit your needs.

Some starting points. For bibliography entries, you probably want to format your authors using the following string:

{%Last|First|Middle%} {%First:a%}{%Middle:a%}

And the entry itself (assuming 49 is the volume or issue number) something along the lines:

{%Author:0|Title%}{ (%Year%)}{ %Title%.}{ %JournalName%}{ %Volume|Issue%{:%Pages:::%}}{ %Pages:::%}

The first part (%Author:0|Title%) ensures that if there is no known author, the title is displayed first before the year. In your example, the output would become:

Analysis of the influence of substrate on coral reef fish communities (1978) Mar Biol 49:317-323

If the work has an author, the title of the work is displayed after the year. Then you have the journal name. Finally, the volume or issue and the pages are displayed. The repitition of the Pages variable at the end is a failsafe mechanism. If you don't specify a volume or an issue, the pages will be displayed without a colon in front of them, e.g.

Luckhurst BE, Luckhurst K (1978) Analysis of the influence of substrate on coral reef fish communities. Mar Biol 317-323

Can someone help me either to create a customized reference form, modify and existing file... or maybe there is one out there that I can use already?

I'm using mac:word2008.

I need something that will cite throughout the paper as follows (Brown 2001; Smith 2002; Fox 2003) -notice the sequence from oldest to newest

and in the works cited use this format

Luckhurst BE, Luckhurst K (1978) Analysis of the influence of substrate on coral reef fish communities. Mar Biol 49:317-323

The round brackets are an all or nothing thing. They are either around all in-text citations or around none. They are controlled by the openbracket and closebracket element:

  <openbracket>(</openbracket>
  <closebracket>)</closebracket>

You could remove the brackets from the elements, but then you would have to add brackets to each of the types of in-text citations you would want them around. Alternatively, you can of course type the brackets manually whenever you need them.

Italics can be created using the html<i> tag. For example if you have a title:

{%Title%}

you can display it italicised using:

{&lt;i&gt;%Title%&lt;/i&gt;}

For in-text citations, the basic i(talics), b(old), and u(nderline) elements are available. For bibliographies, the full range of html tags supported by Word 2007 are available.

One further question though. if I wanted an in-text citation of a law case for example:

Forsyth-Grant v Allen [2008] EWCA Civ 505, Env. L.R. 41I

how could i achieve this without rounded brackets and with an italicised title? at the moment mine looks like this:

(Forsyth-Grant v Allen [2008] EWCA Civ 505, Env. L.R. 41)

There are no provisions for them, because the University of Exeter does not provide any specification for them. Unless someone can provide me with a(n official) document describing how they should be formatted, they won't be added to a specific style.

To get an idea about how the formatting works, start by reading

Some pointers to get you started: citations can probably be formatted the same as for most other entries. So one for Report would probably look like:

  <source type="Report">

The same holds for the YearSuffix extension:

The bibliography part requires the most formatting. The question you should ask yourself first is which fields you are going to use to represent an entry. Author, year, and title are obvious. After that, the choice is up to you. A possible selection could be:

ThesisType (to indicate the type of report)
Department (acts as publisher)
Institution (acts as publisher)
City (city the instution who wrote the report is located in)
Pages (pages you are citing)

The important fields section could then look like:

But like I said at the beginning of the message. This is just one possible interpretation. There is no way of telling if a reviewer would accept this format or not.
